Now Seeking National Administrator

NATIONAL ADMINISTRATOR
 
Greetings Mochas and Friends,
 
Our National Administrator, Tynicka "Nicky" Battle, has announced she will be stepping down from the national administrator position to focus on her own growing digital media company. Nicky has only been with us for a year and a half, but in that short time she has proven to be a vital and much needed force in our organization. As many of you know, the national administrator is the "engine" that keeps our national office running smoothly and efficiently. On any given day, Nicky is responsible for responding to leader issues and concerns, member questions, new member inquiries and a wide range of other administrative tasks, from putting together Mocha Monday, to generating rosters and reports...and she has done this with great efficiency and expertise, not to mention a smile on her face. We are deeply grateful for Nicky's time and hard work and for the effective functioning of our national office. Quite simply, we could not do it without her and we will miss her greatly. We wish Nicky the very best in her future projects and know that it will be difficult to replace her. But, we are now seeking to fill the position of National Administrator. Responsibilities:
  • Receive and respond to email inquiries
  • Receive and process paper and electronic membership applications
  • Input newly chartered chapters and the new presidents into our database and send the new presidents all required leadership information at the request of the national board
  • Review and approve leader membership applications
  • Keep track of leader renewals and send out dues reminders to those who have not renewed
  • Send electronic copies of new/renewing member receipts weekly to chapter leaders
  • Input the email addresses and other contact information of those who sign the Occupy Schools Pledge into our database.
  • Serves as or works closely with IT experts for national, regional and other events
  • Represents organization via email and in-person as needed to membership, outside organizations, stakeholders or partners
  • Pull monthly network rosters and send to directors
  • Pull monthly chapter rosters and send to Chapter Presidents with copy to State Coordinators and Regional Directors
  • Maintain member databases and a current list of active and inactive chapters and report numbers weekly
  • Receive and process membership, event and other payments. 
  • Prepare monthly dues reports for Treasurer and issue/mail monthly dues payments to chapters
  • Monitor the Circle of Leaders account and alert national board members to any pressing issues
  • Update website weekly with current photos and information about recent or upcoming events
  • Annually update all leader databases, leader groups, Quickbooks online and contact list to remove past leaders and add new chapter leaders for upcoming membership year.
  • Participate in state coordinator, regional director and national board meetings including strategic planning meetings and prepare and distribute minutes
  • Maintain electronic and paper filing system
  • Create appropriate registration survey and publish monthly network calls to website
  • Send annual reminder notices to chapter leaders (ex. Annual Chapter/Financial Report Reminder, elections, Officer Update Forms, etc.
  • Prepare Mocha Monday and Occupy Schools Weekly Action Item e-blasts via Constant Contact
  • Schedule Board Calls and other calls for national board members via free conference system
  • Send various surveys to the members of our database as needed
  • Create and/or design/embellish e-blasts, newsletters, and all other corporate documents, etc. as needed
  • Create and monitor mochamoms.org email addresses for Mocha leaders
  • Prepare and send quarterly Mochaland Newsletter and Monthly Occupy Schools Newsletter (via Constant Contact)
  • Manage large mailings (tokens of appreciation, correspondence, operations manuals, etc.) as needed
  • Maintain, monitor and update website:
◦      Post News, Events, etc.
◦      CafePress Items
◦      Ensure information is up to date
  • Ensure that all messaging is consistent and in keeping with the Mocha Moms mission, purpose, brand and visual standards.
  • Work with National President & National Board Members on streamlined outreach to leaders, including emails, letters and presentations
  • Manage registration process for National and Regional Conferences and other events.
  • Order office supplies, Mocha paraphernalia, leader awards and gifts
  • General administrative support
  • Other projects and support as needed 
Requirements:
  • Highly proficient in Microsoft Word, Excel, Publisher, and Access (Microsoft Access must be on your computer)
  • Light to moderate efficiency and experience in HTML
  • Knowledge of database management
  • Graphic design experience (PhotoShop and InDesign)
  • Excellent writing/editing and verbal communication skills
  • Team player with highly collaborative style. Willing to coordinate with the National Board, Mocha Moms leaders, members and prospective members, sponsors, partners and anyone connected to, or involved with the organization.
  • Willingness to submit to a credit/background check, as well as sign a Non-Disclosure Agreement (NDA)
  • Willingness to travel to trade conferences, national conferences, sponsor and partner events, as well as annual National Board strategic planning sessions 
*This is a remote/virtual, PAID position. Pay is based on experience.
 
The National Administrator MUST be available a minimum 30-70 hours per month (and reachable/on call during some evenings and weekends).
